1 § Coordinators and Terms of Office

The association may have coordinators. Coordinators are appointed by the Board. Due to the nature of the work performed by coordinators, the employment relationships of the association’s coordinators are fixed-term. 

Appointment of Coordinators

2 § Announcement of Vacancies 

Open positions must be announced as available before they are permanently filled. The application period must be at least fourteen (14) days. The Board decides on opening the application process. The position shall be announced through the association’s official notice board and communications, as well as through other means where necessary.

3 § Appointment to a Position

A position may only be permanently filled by a person who has applied for the position in writing before the end of the application period. However, the position may be re-opened for applications or the application period may be extended if the Board considers it to be in the best interest of the association. If a position is re-opened for applications, the announcement must state whether previous applications will be considered when filling the position. If the person selected for the position does not accept it, another person who applied for the position within the designated period may be appointed.

4 § Position Remaining Vacant

The Board may fill a vacant position without announcing it as available for a maximum period of three (3) months.

5 § Employment Contract

The association must always enter into a written employment contract with a coordinator. The contract shall define the terms of employment in more detail, as well as other relevant matters such as working hours, duties, compensation, and termination of employment.

6 § Secondary Positions

A full-time coordinator may not undertake a secondary position without the consent of the Board.

Eligibility and selection criteria for officers

7 § Eligibility Requirements

A member of the Board may not serve as a coordinator of the association. However, a Board member may be appointed as a coordinator if the coordinator term begins only after the person’s term on the Board has ended.

8 § Selection Criteria

The selection criteria for coordinators must be decided before a position is announced as available. The selection criteria must be stated when announcing the vacancy. The Board decides on the selection criteria.

9 § Duties

The duties of coordinators shall be defined in the employment contract.

Other Provisions

10 § Amendment of the regulations during an event coordinator’s term

After amendments to these regulations have been made, each coordinator serving at that time must notify the Board in writing within one (1) month of the approval of the Coordinator Regulations if they do not accept the application of these regulations during their own term of office. Otherwise, they shall become subject to the new Coordinator Regulations.

11 § Other Regulations Concerning Coordinators

In addition to these regulations, a coordinator must comply with the association’s rules, operating procedures, other regulations, and instructions issued by the Board while performing their duties.

12 § Additions and Amendments

Additions and amendments to these Coordinator Regulations shall be decided by the association’s General Assembly by a simple majority of votes.

13 § Entry into Effect

These regulations were approved at the association’s Spring General Assembly on 16 April 2013. The Coordinator Regulations were updated at the Fall General Assembly on 19 September 2023.
